Student Registration

To register new or progressing students with the University of Wales, collaborative centres should send a Registration Transfer in the correct Excel format directly to registrations@wales.ac.uk (for guidance, please refer to the Instructions for Student Registration). This should be submitted ideally ten weeks before the start of study or commencement date of the new academic year.

Collaborative centres should arrange for matriculation, undergraduate, credit transfer applications and all relevant supporting documents for every candidate to be sent to the University at the same time. Supporting documents should include:

  • Certified copies of relevant degree/award certificates and transcripts;
  • Appropriate evidence that the English language requirements have been satisfied;
  • Evidence that the Home Office (formerly UKBA) requirements have been met for those candidates pursuing study in the UK.

If sending via post please ensure a copy of the Registration Transfer is included in the correspondence.

When a Registration Transfer has been successfully uploaded and processed, you will receive a confirmation email containing an Excel spreadsheet and confirmation report. If students are being registered for the first time, the students’ University Student Numbers (USN) will be provided in the spreadsheet. The collaborative centre must ensure that the correct USN is included in all correspondence with the University, including Registration and Exam Transfers.

Please be reminded that collaborative centres are required to submit an annual Registration Transfer containing all active students (new and progressing) for the duration of their studies. This process ensures the students’ records remain active, and retains access to the University’s online resources which lapse periodically.  

WITHDRAWAL OF STUDENTS

Registrations must be informed if any students withdraw from their studies. Collaborative centres will only be eligible to a refund of registration fees if the student withdraws within six weeks of the start of study or commencement date of the new academic year.

  • Candidates seeking entry to a University of Wales undergraduate scheme of study are required to meet the University’s entry requirements, as outlined by the agreement document with the Collaborative Centre.

    Prior to registration onto an undergraduate scheme of study, the Collaborative Centre must submit a completed Undergraduate Application Form for each candidate to the University Registrations team and the University will verify whether the candidate is eligible for registration.  Evidence of the prior qualification including certificate and transcript must be attached. Where a candidate’s certificate and transcript are in a language other than English, a signed and stamped copy must be provided by an official translator.

    Where applicable, appropriate evidence that the English language requirements have been satisfied must be provided.

  • Candidates seeking entry to a University of Wales postgraduate scheme of study are required to meet the University’s matriculation requirements, usually on the basis of holding a recognised initial degree or its equivalent.

    The University of Wales refers to the following resources in determining which is a ‘recognised’ initial degree:

    • UK NARIC - a national agency responsible for providing information, advice and expert opinion on vocational, academic and professional skills and qualifications from over 180 countries worldwide
    • University of Wales Academic Protocol 4 - a list of approved Institutions, although this should read in conjunction with advice from NARIC
    • The US Department of Education’s database of accredited post secondary institutions and programs ope.ed.gov/accreditation/

    Note that for matriculation applications on the basis of qualification, the University will accept photocopies of degree certificates only if the original degree certificate has been seen, and certified, by a member of staff at the Collaborative Centre. Where students’ certificates are in a language other than English, a signed and stamped version must be provided by a translator.

    Collaborative Centres should send completed matriculation application forms to their designated Support Officer prior to the start of the course. Letters will be provided to Collaborative Centres for students who successfully matriculate. Matriculation does not mean that the student is registered with the University. A separate Registration Transfer must be submitted to the University in order to register a cohort of students. See the Student Registration page for instructions on how to register students.

    The University may approve the matriculation of candidates to some schemes of study whose relative lack of formal qualifications is compensated for by relevant experience. As described in the Protocol for the Matriculation of Candidates for University of Wales Taught Higher Degrees on the Basis of Relevant Experience each Collaborative Centre is required to establish an admissions committee which will draft a set of scheme specific admission criteria for entry on the basis of experience. Criteria must be approved by the course moderator and evidence of this copied to the Registry before applications for admission on the basis of experience can be accepted.

  • Students may apply for exemption from certain modules of the University of Wales validated scheme in line with the University’s .

    Students must satisfy both the Collaborative Centre and the University that they have successfully completed schemes that compare in level, content and standard to the modules from which they seek exemption.
